While others were off on holiday, we hit the ground running. July is typically a time when most people press 'pause' - automated replies, empty inboxes, the standard 'let's revisit this in September.' However, sometimes it's precisely during these moments that the most agile recruitment teams make bold decisions.

One of our clients - a recruitment agency - realised that this summer was the perfect opportunity to tackle an issue that's been weighing on them for years: an oversized, chaotic candidate database. Over 35,000 records scattered across various tools, outdated systems, and Excel spreadsheets... it was time for serious action.

So while the industry was packing flip-flops, we were packing our expertise.

Problem: Oversized database and a system that couldn't keep up

The agency was growing rapidly. But - as is often the case - the technology failed to keep pace with their growth rate. The team juggled multiple projects, switched between tools, and wasted precious time on basic tasks: candidate searches, contact history checks, and attempts to piece together 'who spoke to whom recently.'

Before we could make any improvements, we had to untangle years of accumulated data. Here's what we faced:

We began by collaboratively planning the process with the client's team. No rush and no shortcuts - a solid migration strategy and a lot of data work, which might not sound thrilling... but we love it.

We won't pretend - exporting data from the previous ATS system was not straightforward.

Getting a complete export file took several attempts. Some data was incomplete, missing candidate information, and the export itself was poorly structured. It required additional work, manual matching, and - to be honest - a bit of detective skill.

But we did it.

Here's how the entire process looked:

  • Data consolidation from various sources (old ATS, Excel files, email notes)

  • Cleaning and standardising records to make them useful and consistent

  • Removing duplicates, filling gaps, and preserving historical notes

  • Integrating data into Recruitify with full tracking of consents and communication history

  • Setting filters, labels, and smart Talent Pools - so sourcing worked from day one

The best part? The client's team operated continuously without disruption. No 'black screens,' no downtime. Just a smooth, seamless migration running in the background.

Impact: A system that supports the team — not hinders them

Today, that same agency operates on a clean, organised, and easily searchable database. Sourcing takes seconds. Recruiters receive automatic reminders and action suggestions. Account managers generate client reports with a few clicks.

But the changes weren't confined to candidate management.

We also helped them implement the CRM module in Recruitify, which streamlined client relationship management and sales development — the part of work that previously existed in disjointed Excel files and separate tools. Now, the entire team has a unified view of clients, open recruitments, activities, and upcoming sales opportunities.

This wasn't just a 'system change.' It was a return to order, clarity, and control — from the first candidate contact to client relationships. And that's where the real value lies.

Their comment after the project was completed? 'We should have done this a year ago.'
